North Carolina Motor Vehicle Bill of Sale Form

The North Carolina Vehicle Bill of Sale is considered a legal document in the state that provides proof that a legal sale and purchase of a vehicle has been transacted. This document will provide required information with regard to the seller, the buyer, change of ownership and identification of the vehicle being sold and purchased. This form may be required at registration and will require notarization.

Odometer Disclosure Statement (Form MVR-180) – Should be attached to the bill of sale for the State to certify an accurate reading of the odometer at the time of registration by the new owner.

Register a Vehicle in North Carolina

If you’re new to the state of North Carolina as a resident, you must register your vehicle within 30 days. If you are currently a resident, and purchase a vehicle, you must register the vehicle prior to operation on North Carolina roadways.

Where to Register – If you’re prepared to register your vehicle in NC, you must appear in person at the  most convenient to your location

Needed to Register – Gather the following information to present in order to register your vehicle in the state of NC:

  • You will be required to provide a driver’s license or state ID card
  • Proof of Insurance
  • A bill of sale
  • A notarized vehicle title.
  • If a lien holder has your vehicle title, then you must present your current out-of-state registration and an odometer reading.
  • If there are co-owners to the vehicle, all necessary documents must be presented or filled out for both owners.
  • A lien release (if applicable).
  • All of the following forms must be completed and presented to the DMV
  • Complete a Title Application (Form MVR-1)
  • A  completed Declaration of Eligible Risk (Form MVR-615)
  • A completed  Damage Disclosure Statement (Form MVR-181)
  • If your vehicle is less than 10 years old you will require an Odometer Disclosure Statement (Form MVR-180)
  • Be prepared to pay all registration fees to be paid at registration

How to Write

Step 1 – Seller and Buyer Information – Both parties must enter the following information:

  • The Seller –
  • Name
  • Driver’s License Number
  • Physical Address
  • City
  • State
  • AND
  • The Buyer –
  • Name
  • Driver’s License Number
  • Physical Address
  • City
  • State

Step 2 – Vehicle Details – Enter the required details as follows:

  • Make
  • Type/Model
  • Year
  • VIN
  • Color
  • Odometer Reading (in miles)
  • Will the Title be included with the sale? (Check yes or no)

Step 3 – Trade/Purchase Price – Check the boxes that apply to this transaction. Enter any additional information if required:

  • Checking the first box states that the seller prefers only monetary payment from the buyer – Enter the dollar amount in words
  • Enter the dollar amount in numbers
  • Specify the  that payment will be made, in mm/dd/yyyy format
  • Provide a specific date as to when document will be known as completed, in mm/dd/yyyy format
  • If the parties have agreed that payment will be made at a later date, enter the later date, in mm/dd/yyyy format
  • Other – If different terms have been agreed upon by the parties, enter a brief description of the new terms (if extra room is needed add a sheet)
  • Check this box if the vehicle is being provided as a gift to the other party
  • Checking the box will indicate that the parties have agreed on a direct trade. Enter a brief description of the terms and conditions of the trade

Step 4 – Seller’s Disclosure – The seller must review the statements and must disclose any known defects with the vehicle.

  • Once the statements have been reviewed and defects (if any) have been recorded by the seller, then the seller must proceed to provide their signature

Step 5 – Signatures – If all signing parties are present before a notary public provide the following:

  • The Seller –
  • Signature
  • Printed Name
  • AND
  • The Buyer –
  • Signature
  • Printed Name
  • AND
  • The Witness – 
  • Signature
  • Printed Name

Step 6 – Notarization – Once the notary has witnessed all signatures, she/he will then complete the remainder of the form, affixing  their state seal.

  • Make copies of the completed document
  • Give the original copy to the buyer
